Overview

This Privacy Policy explains what information InstantOffice (“we,” “us,” or “InstantOffice”) collects, how we use it, and the choices you have. We aim to keep this in plain language. If you have questions, you can contact us.

1. Information you provide

When you sign up or use InstantOffice, you may provide your name, email address, telephone number (if you choose), company or business information, onboarding information, account or profile information, and any communications or support requests you send us.

2. Business operational information you place into InstantOffice

InstantOffice is a business operating platform. To run your business through it, you may enter operational information such as customers and contacts, service locations or properties, jobs or work, proposals, contracts, invoices, messages, tasks, notes, employees or crew information, and other business records used by the modules you enable. You control this business data. We process and store it to provide the service to you.

3. Payment information

Payments are processed by Stripe, our payment provider. InstantOffice does not need to store your full card numbers. Stripe may collect billing and payment information under its own privacy practices. For details, see Stripe’s privacy policy.

4. Technical information

We collect limited technical information such as server logs, device and browser information, IP addresses for security, and essential session and security cookies where applicable. This helps us operate, secure, and improve the service.

We also use Google Analytics for optional site analytics. Google Analytics may collect device, browser, and usage information to help us understand how visitors use InstantOffice and improve the site. Analytics is off by default — you can choose to allow or reject non-essential analytics through the consent banner, and you can change your preference at any time using the “Cookie settings” link in the footer. Google is an analytics service provider that processes this information under its own practices.

5. How we use information

We use information to:

  • Provide and operate the InstantOffice service
  • Operate your account
  • Process subscriptions and billing
  • Secure the service and prevent abuse
  • Provide support
  • Improve reliability and functionality
  • Meet legal and compliance obligations where applicable

6. Service providers

We rely on trusted service providers to operate InstantOffice, including:

  • Stripe — payment processing
  • Supabase — durable application and database infrastructure
  • LeadConnector — connected business and CRM infrastructure where used
  • Google — optional website analytics (Google Analytics)
  • Hosting and infrastructure providers used to run the application

These providers process information as needed to operate the service on our behalf. They do not own your business data. We do not imply that any service provider owns customer business data.

7. Data sharing

We do not sell customer personal information. We share information with service providers as needed to operate the service, where required for legal or safety disclosures, and in connection with a business transfer (such as a merger or asset sale). Where required by law, we may disclose information to authorities.

8. Data security

We use reasonable technical and organizational safeguards to protect information. No system is perfectly secure, and we do not guarantee absolute security.

9. Data retention

We retain information as necessary to provide the service, meet legal obligations, and resolve disputes. Customer or account deletion may be subject to legitimate retention obligations.

10. Your privacy rights

Depending on where you live, applicable law may give you rights to access, correct, or request deletion of your personal information. You can exercise applicable rights by contacting us. We do not claim certification under any specific privacy law or program that has not been established.

11. Children

InstantOffice is intended for businesses and adults. It is not directed to children under 13, and we do not knowingly collect information from children under 13.

12. International processing

If you use InstantOffice from outside the United States, your information may be processed in the United States or other regions where our service providers operate. By using the service, you consent to that transfer where applicable.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will update the effective date above when we do. Material changes will be posted on this page.
